BOARD OF DIRECTORS MEETING

WEDNESDAY, AUGUST 26, 2009

MINUTES

 

 

 

The Board of Directors meeting for The River Oaks Place Council of Co-Owners, Inc. was called to order at 7:00 p.m.  Those present were Kay Lawler, Neil Koenig, Sandra Stettler, Ruth Simmons, Lindsey Word and Jackie Wright representing the managing agent.  Homeowners present were Mae Holm of unit 216, Luis Salinas of unit 158, Wilson Barbee of unit 132, and Tom Fox of unit 219. 

 

Motion was made, seconded and carried to approve the minutes of the July 22, 2009 Board of Directors meeting and Executive Session as amended. 

 

HOMEOWNER FORUM

 

Wilson Barbee reported that the mail carrier has failed to lock the mailbox section on a couple of occasions. 

 

Management answered questions regarding the recent change in the post office box for maintenance fee payments, as well as when management might be able to accept credit card payments through the website. It is unknown when the latter service will be available.

 

The Financial Report was reviewed and accepted as presented. 

 

UNFINISHED BUSINESS

 

Management updated the Board with regard to Project Facelift.  Larry Hiser has been delayed in completing work on patios due to the fire wall issue involving Comcast Cable.

 

Management updated the Board regarding the perimeter brick wall(s).  The engineer had recommended a pre-fabricated wall rather than rebuilding the section of brick wall.  The engineer also suggested that we go back to Brick Restoration to get their design engineer to re-design the brick wall so that Brick Restoration could do the wall in accordance with their blueprints.  Brick Restoration was

contacted but advised they do not have a design engineer, nor could they recommend one.  The engineer is currently looking for one at this time, and management will continue to try to locate one as well.  Management informed the Board that at least one tree will probably require removal in order to complete the wall, and a proposal was submitted for same. This was tabled pending obtaining a design for the new wall.

 

Management was directed to order another Òrazor wireÓ sign to replace one that has faded.

 

Management advised that Larry Hiser is still in the process of inspecting the fire walls for damage.  Approximately 72 unit owners have responded as of this date.  A list of units that have responded to the letter for fire wall inspections was provided to the Board.  Once the list is complete, Comcast will be asked to make the repairs.  Management inquired how the Board wanted to address those owners who have failed to respond.  All were in agreement to provide the list to the Concierge service who can then require the owners to sign off on the form. 

 

There was discussion regarding a community party, and all were in agreement to schedule it for National Night Out in October. 

 

An update was given with regard to landscaping.  It appears that the majority of the plants that were transplanted are doing very well.

 

NEW BUSINESS

 

All were in agreement to change the November meeting date to Wednesday, December 2, 2009 due to the Thanksgiving Holiday. This meeting will be for both November and December.

 

Management informed the Board that some of the tiles around the edge of the pool are beginning to fall off.  The pool company is currently looking for a matching tile so that these areas can be patched.
