BOARD OF DIRECTORS MEETING

WEDNESDAY, JUNE 23, 2010

MINUTES

 

The Board of Directors meeting for The River Oaks Place Council of Co-Owners, Inc. was called to order at 7:13 p.m.  Those present were David Brashear, Neil Koenig, Ruth Simmons, Sandra Stettler, Lindsey Word, and Jackie Wright representing the managing agent. 

 

HOMEOWNERS' FORUM

 

Wilson Barbee of unit 132, Luis Salinas of unit 158, and Mae Holm of unit 216 were present. The Board answered questions from Mr. Salinas with regard to the proposed change in landscape contractors.  Mr. Salinas again recommended that a Landscape Committee be appointed to make recommendations to the Board.  The Board advised that the intention is to keep a landscape company to handle the mowing and edging, and Juan Merida will handle care of all other landscaping with the help of an assistant, in accordance with the recommendations of Texas A & M University Horticulture Department's guidelines for plant care.

 

Mae Holm requested information from the Board members as to their background and employment fields. 

 

MINUTES/REPORTS

 

Motion was made, seconded and carried to approve the minutes of the May 26, 2010 Board of Directors meeting and Executive Session as amended.

 

The Financial Report was reviewed and accepted as presented.

 

UNFINISHED BUSINESS

 

An update was given regarding the survey on the driveway parking procedures.  It was estimated that 50% of the owners actually completed the survey.  Each of the Board members will read the comments prior to discussing this issue further.  Management was instructed to continue with current vehicle violation policy at this time.

Management was requested to purchase new brightly colored parking stickers due to the existing stickers being worn and faded.  The numbers on the stickers that are distributed will be logged by management (two stickers per unit).

 

The Board discussed the driveway repairs at the dumpster to be completed in two phases, due to the fact that there will be in excess of approximately 24 vehicles that may need to find alternative parking during the project if it is done in one phase only.  Once scheduled, management will post a notice for all residents.  The dumpster will be moved for the duration of the project to the location where the recent community‑wide barbecue was set up.  The entire concrete project is anticipated to take about 10 days, weather permitting.

 

Management again presented the three bids for mowing service.  Management was asked to talk with Juan Merida about specific plans for hiring an assistant for 20 hours per week.

 

Management advised that tree removal near the iron fence at unit 166 was completed, and the stumps will be ground as soon as they are thoroughly dry.  Management was also asked to have another stump ground, from a tree that was removed previously (near the new brick wall).  When all of that is completed, the iron fence can be straightened.

 

It was reported that the River Oaks Place website is back up and fully operational.

 

 

NEW BUSINESS

 

Ruth Simmons recommended the Board consider tree trimming by Treescapes due to the projected busy hurricane season.  It was also mentioned there are several owners with large trees within their patio areas.  Treescapes will be requested to inspect all trees and make a recommendation, as well to inspect any units that have trees within the patios that require attention.

Management informed the Board that the 2% windstorm deductible on the insurance renewal will now be per building rather than by the entire property.

 

There being no further business, the meeting was adjourned to Executive Session at 7:52 p.m.
